Meeting Room Policies and Guidelines

Policy:

 

1.  Events sponsored by the Obion County Public Library, the Friends of the Library, and other agencies of the Obion County and Union City governments have first priority for meeting room use.  Thereafter, requests will be considered in the following order:

  • Community non-profit, cultural or civic organizations

  • Organizations whose primary purpose is for-profit.

2.  Each group must fill out a reservation application form.  The form can be obtained at the library or submitted online from the form provided at the bottom of this page.  Recurring reservations will be accepted for up to six months and must then be renewed.  A call of inquiry of availability does not constitute a room reservation.

 

3.  Requests will be considered on a first come, first served basis.

 

4. All use of the meeting room is subject to the approval of the Board of Trustees.

 

5.  Those planning to use the meeting room must sign a statement accepting responsibility for damage or loss to Library equipment and furnishings.  The person who signs the statement is responsible for the conduct of the group.

 

6.  Failure to abide by the Library's meeting room policies and guidelines may result in the cancellation of or refusal of future reservations.

 

7.  Businesses may use the meeting rooms for educational purposes for a fee.

     Half-Room- $25 (Less than 4 hrs.)    $50 (4+ hrs.)

     Full Room- $50 (Less than 4 hrs.)    $100 (4+ hrs.)

 

Programs involving the sale, advertisement or promotion of commercial products or services or the solicitation for the future sale of commercial products, are prohibited. The sale of a commercial product in the meeting rooms is prohibited.

 

8.  Fundraising events or solicitation of any kind are not permitted unless sponsored by the Friends of the Library.

 

9.  Meetings and programs must be open to the public and free of charge.

 

10.  The Library does not advocate or endorse the viewpoints of any group or individual.   Meeting room use shall not be publicized in such a way as to imply Library sponsorship.

 


 

Guidelines:

1.  Use of the meeting room is limited to 120 people in the entire room and 50 in each half.  Fewer can be accommodated when using tables.  Fire code requires that no group excel these capacities.

2.  Meetings must start while the Library is open.  Groups remaining in a meeting room after regular hours will not have access to the rest of the building.

3.  The Library provides tables, chairs and audiovisual equipment as is indicated on the reservation form.  The group is responsible for indicating any equipment needed on the reservation form. The Library staff is not responsible for set up or the operation of audiovisual equipment, but will be glad to give instruction.

4.  Groups are responsible for leaving the meeting rooms in order.  The Library reserves the right to charge a fee if facilities must be cleaned.

5.  Each group using the room is responsible for setting up the room and returning it to its original condition.  Lights are to be turned off at the conclusion of the meeting.

6.  Please do not attach fliers, signs, or other notices to the painted walls, the ceiling tiles, or any glass surface.  A tacking strip is available on each wall for posting materials.

7.  Programs may not interfere with library operations.

8.  Distribution of promotional or informational materials must be limited to the meeting rooms.  Materials may not be distributed before or after the meeting period.

9.  Refreshments may be served, but alcoholic beverages are not allowed.  All food and drink must be kept to the meeting room area.  The kitchen area must be cleaned up when the meeting is concluded.

10.  Adult supervision is required when children are using the room.  Children of those attending meetings should not be left unattended in the Library during meeting room use.

11.  Groups may cancel their reservations at any time and should notify the Library as soon possible.

12.  Users may not store or leave equipment, supplies, or personal belongings in the Library.  The Library is not responsible for lost or stolen items.

13.  Smoking is prohibited in all areas of the Library.
